PF registration

How it works
- 1
Check applicability
We look at your headcount and wages to confirm whether PF applies, and from which date.
- 2
Employer registration
We register the establishment on the EPFO portal with the business, ownership and signatory details.
- 3
PF code number
The EPFO allots the PF code number. If it asks for anything more, we answer it.
- 4
Portal set-up
We register the signatory's DSC or e-sign on the portal and add your employees with their UANs.
- 5
First return
We walk you through the monthly challan and return so you pay on time, or we take it on under our PF and ESI return service.
When PF applies
PF now comes under the Code on Social Security, 2020, which took effect on 21 November 2025 and replaced the earlier EPF Act; the EPFO still runs registration and returns on its portal. PF applies to establishments employing 20 or more people. Once covered, an establishment stays covered even if its headcount later falls below 20, and smaller employers can opt in voluntarily.
Employer and employee each contribute a share of wages, 12% for most establishments, and part of the employer's share goes to the pension scheme. Contributions are paid every month through an electronic challan cum return (ECR) by the due date.
After registration
Each employee needs a Universal Account Number (UAN), which stays with them across jobs. New joiners who already have a UAN are linked to it; others get a new one when you add them.
The employer files the monthly return and pays the contributions, keeps wage records, and marks exits so employees can withdraw or transfer their balance. Late payment attracts interest and damages, so it helps to set up the monthly routine from the start.
Frequently asked questions
Is PF registration mandatory for my business?
It is once you employ 20 or more people. Below that it's optional, but if you register voluntarily, the rules apply in full.
Who counts towards the 20-employee test?
Generally all employees, including those engaged through contractors. We check your headcount before applying.
Is there a government fee?
No. Registration with the EPFO is free. Once registered, you pay contributions and administrative charges each month.
Can a company get PF registration at incorporation?
Yes. Companies incorporated through SPICe+ get an EPFO registration through the AGILE-PRO-S form. If yours didn't, or you aren't a company, we register you on the EPFO portal.
When are contributions due?
Every month, by the due date set under the scheme, through an electronic challan cum return on the EPFO portal. Late payment attracts interest and damages.
Can we cancel PF registration if staff numbers fall?
Generally no. Once PF applies to an establishment, it continues to apply even if the headcount falls below 20. The registration is closed only when the business shuts down.
